Ok, So I’m Booked - What Next?

Between now and the day that you depart, the Royal Journey Team will be busy putting the “polish” on your trip, ensuring that every aspect runs smoothly and that you have the absolute best experience possible.  We will provide you with a custom online itinerary that details every aspect of your trip, including all travel details, destination information, payment record, and all applicable travel documents and receipts, all of which are at your disposal for downloading and/or printing. This is truly your one-stop-shop for ALL information regarding your trip, as it updates in real time. You can be sure you are always viewing the most recent version of your itinerary. You are also able to download the TRIP PLANS app to view your itinerary on your iPad or smart phone while traveling. (Please view a sample itinerary HERE)

Then, about 7-10 days prior to departure, you can expect a “Bon Voyage” travel box from us, delivered to your door, which will include all necessary travel documents, as well as a few Royal Journey branded travel goodies! We can also schedule a before-you-go call to cover any last minute questions you might have.

What Else Do You Need from Me?

Please make sure you have provided us with a copy of each passenger’s passport as soon as you are able. It is vital that we have this information prior to travel in the event of an emergency. (Note: domestic travelers need not provide passports)

A gentle reminder that if you are traveling abroad, it is your responsibility to make sure each member of your party holds a valid passport in hand at the time of departure.  Please ensure that all passports are valid for at least 6 months after your scheduled date of return, as most international destinations require this.  

For your security, we also ask that you forward us a soft copy of each traveler’s passport, which will then be attached to your online itinerary, should your passport become lost or stolen.  The easiest way to do this is to snap a picture with your smart phone of the photo page of each passport, and text or email it to us.  We must receive copies of your passports before final travel documents can be released.

How Do I Keep Track of My Payments to You?

You can always find a detailed payment record in the "Information and Documents" portion of your online itinerary, which will alert you to any payments already processed, as well as final payment due date(s).  This is especially valuable when your trip involves multiple travel suppliers for the different components of your trip, as everything is all in one place. Please make a note of any upcoming payments.  All payments will be processed automatically on or shortly before the due date using the credit card on file, unless you instruct us otherwise.

Flight Maintenance Expectations:

Please note that if Royal Journey has booked a flight for you, it is up to the client to maintain the booking online, which includes adding passenger data, purchasing seat assignment or upgrades, and online check-in.  All of these things can be done at the airline's website using the flight confirmation code provided in your online itinerary.  We feel this is the most expedient way for you to select the options that you prefer.

If you have booked your own flights, we ask that you please share your flight information with us as soon as possible, including the 6-digit confirmation code, so that we can incorporate it into your overall travel plan.

Cancellations:

Should you choose to cancel some or all of your trip once a deposit has been paid, Royal Journey will charge a non-refundable cancellation fee of $500 PER ROOM over and above any supplier cancellation fees.  This fee is used to offset the significant time and resources already invested in the planning of your trip, as well as the loss of income incurred from your cancellation (TRANSLATION: if you don’t travel, we don’t get paid). This fee will be charged using the credit card on file and must be paid in full in order to complete the cancellation. This will appear as a separate charge from our agency.

Changes to Your Existing Trip:

Please be aware that once your trip is booked and a deposit has been paid, any changes or cancellations, INCLUDING PRICE ADJUSTMENTS, to your existing custom vacation itinerary will incur a nonrefundable change fee of $250 per item.  However, this fee does not apply the enhancement of your existing plan with additional items, such as tours, transfers, or dining reservations, which can be completed free of charge.  This fee is charged directly by Royal Journey and is over and above any fees charged by the travel supplier. 

Travel Insurance:

Royal Journey Global Travel strongly encourages the purchase of travel insurance, especially when traveling overseas, to protect against trip cancellation or interruption, as well as to provide medical insurance and emergency evacuation where your U.S. health insurance does extend.  This coverage is optional, however, we feel that, for a minimal fee, it provides maximum peace of mind.  Royal Journey has an exclusive partnership with Allianz Global Assistance, one of the premier providers of travel coverage. Once your trip is booked, you will be provided with a quote. In order for your plan to cover any pre-existing medical conditions for you and your immediate family members (even those not traveling with you), the policy must be purchased within 14 days of your deposit payment, however, travel insurance without this provision can be purchased any time prior to travel. Travel documents and access to your online itinerary will not be provided until we have your decision IN WRITING. Should you decline travel insurance from Royal Journey, we we do not assume any responsibility for any financial or medical hardship incurred because if this decision. (By the way, if you think you’re covered by your credit card company, PLEASE call them and quiz them on what EXACTLY is covered!)

What Can I Expect While Traveling:

Your travel advisor will make every effort to be available while you’re traveling, via phone, email, text, and within the TRIP PLAN app. We understand that mishaps, confusion, and emergencies happen once in a while, and you need to know that someone has your back. Rest assured that we are there for you! That said, we kindly request that, if at all possible, you limit phone calls to US business hours, except for during a true emergency. Our firm commitment to you is that we will do everything we can on our end to ensure your vacation gets back on track!

COVID-19 TRAVEL WAIVER, EFFECTIVE MARCH 20, 2020

As the worldwide COVID-19 coronavirus pandemic remains ongoing at this time, you, as THE CLIENT of ROYAL JOURNEY GLOBAL TRAVEL, acknowledge that for this reason, and other reasons not reasonably foreseeable at this time, these travel plans may be interrupted or cancelled by the supplier that is providing them, a government entity or other third party over which ROYAL JOURNEY GLOBAL TRAVEL has no control. You, THE CLIENT, further acknowledges that the supplier’s own cancellation, rebooking and refund policies, subject to any applicable law that is now or may later be in effect, will govern your rights and remedies, including the right to receive a refund, in such an event. Moreover, you, THE CLIENT, understands that, should you elect to purchase travel insurance, the terms of the policy will dictate whether, and to what extent, coverage for any financial loss may exist under the circumstances. By agreeing to these terms and conditions, you hereby agree to hold ROYAL JOURNEY GLOBAL TRAVEL harmless and release it from any and all liability for any damages, including but not limited to monetary losses, you may incur as a result of such interruption or cancellation of these travel plans.
